How to write a daily site report from WhatsApp

On most small construction sites the real record already lives in a WhatsApp group. The problem is not the reporting. It is that nobody can find anything in it a week later. Here is a format that fixes that.

What a daily site report should cover

Keep it to what a client, partner or your future self will ask for. Seven items are enough:

A format your foreman can copy

Pin this in the group and ask the site supervisor to send it once, at the end of the day. It takes about two minutes.

DAILY REPORT, [date]
Weather: [clear / rain / hot]
Crew: [own crew number], [subcontractor and number]
Done today: [work, location]
Materials: [arrived / short / needed]
Problems: [what is wrong, where]
Instructions received: [from whom, what]
Tomorrow: [plan]

What a SiteTab daily report looks like

SiteTab follows the same logic, laid out for reading rather than typing. This is a finished report, ready to share as a link or a PDF.

Why it falls apart after a week

Five habits that keep a WhatsApp record usable

  1. One WhatsApp group per site, named with the site and phase.
  2. Every photo gets a caption: place, trade, what it shows.
  3. Use "ISSUE:", "APPROVED:" and "DELIVERED:" at the start of messages that matter.
  4. Send the daily report at the same time every day.
  5. At the end of each week, save the week's photos and report to a folder, because chats get lost with phones.

Turning the chat into a report without retyping it

You can do this by hand: copy the day's messages into a document, sort them under the seven headings and attach the photos. On an active site that is an evening of work, and it is the first thing people stop doing.

This is what SiteTab does. You add the SiteTab WhatsApp contact to the site's group. It reads what your crew posts, files it as issues, progress, materials, approvals and documents, and drafts the daily report for you to review before you share it. The crew keeps using WhatsApp exactly as before.
